Challenge: finding one platform for all labels
Ik Blink Groep is a holding company with 7 labels active in the fields of secondment, temporary employment, payroll, and back office/ZZP services. Due to this organizational structure, they face a significant challenge when searching for new software. They are looking for a software solution that allows them to manage time registration and mid-office processes, such as contract generation, for all their labels from one portal.
They compared various solutions but ultimately chose the Mid-Office platform from Textkernel. “You have more than 20 years of knowledge and experience in the staffing industry. Moreover, adding entities (labels) is not possible in any other software package. With the Mid-Office platform, we have everything in one environment,” explains Sander van Dalen, IT manager at Ik Blink Groep.
That they want everything in one environment is a crucial requirement. But they are also impressed with the way Time Interpretation works. Sander: “You can quickly and graphically configure it based on a flowchart. This works very well, and you can master it with just one day of training.”
Another requirement they have is that margin invoicing is correctly integrated into the software. “So not based on a credit invoice, but actually by sending an invoice,” explains Sander. This also turns out to be possible in the platform. Moreover, with the accompanying app, which they have fully customized to their own corporate identity, they have a comprehensive package at their disposal.
Seamless integration
At Ik Blink Groep, they strive for an IT landscape where everything is integrated and seamlessly aligned. Sander: “Especially the integrations make the difference. Previously, everything had to be transferred manually. When someone applies via the website, this person first ends up in Carerix. A placement is created there, and then this is immediately forwarded to the Mid-Office platform, where the onboarding is almost ready.”
The intermediaries are responsible for checking the data. They tick off that the passport has been verified and the rate has been checked. “Only after the employee has accepted this and provided the bank details can he/she enter hours, and everything is forwarded to the back office.”
Linking with CAO Connect
In the onboarding process, they also use the link with CAO Connect. This allows them to automatically retrieve collective labor agreement (in dutch: CAO) data and provisions, without having to search through labor agreements for changes. Sander: “A big advantage is that we can also retrieve specific agreements from the client and that the client can sign these directly. Especially because we also generate all contracts via the platform, this feature is a perfect addition.”
Reduction in errors and corrections
By using our platform, they prevent many errors and the number of corrections has significantly decreased. Sander: “Previously, intermediaries manually entered hours, which resulted in many errors. These corrections have now decreased significantly. Also, the checks are now carried out in one package, which is also a great advantage.”
Automating all processes
With the Workflow Automation module, they manage to fully automate even more standard processes. Think of processes such as a change of address, change of gender, applying for a lease car, or adjusting insurance. Sander: “We have quite a few migrant workers who receive insurance from us, but after a few months, most of them take out insurance elsewhere. For this, we have built a process with workflow automation.”
Consultants who think along
Sander is also very enthusiastic about the support he receives from our consultants and service department. “We have had many discussions with the consultants when we had a challenge. For example, we wanted to pay monthly and invoice weekly. They really thought along about a good solution. That this ultimately succeeded is truly remarkable. The system perfectly aligns with all our exceptions.”
Result: saving 2 to 3 FTE per label
They have now been live with our platform for a few months. The goal of Ik Blink Groep was to save time in the back office. Sander: “Mainly in retrieving and requesting data. You don’t want an intermediary to email back and forth about a passport. You want that uploaded in a portal where everything is stored. The entire communication flow now runs through the Mid-Office platform, saving a lot of time. Previously, registration could easily take 3 or 4 days, now it’s done within a day. I think we save 2 to 3 FTE per label.”
Faster scaling
Another important result is that they now have a uniform way of working, allowing them to take over and connect new labels more quickly. “We have really set up a fantastic IT landscape that we can build on further and scale much better,” says Sander.
